Sales Inventory Tracking:

The management was unable to accurately keep track of vehicles from their sales inventory (over a thousand vehicles at any given point in time). This was due to a simple case of damaged, missing or misplaced paper files. This meant that the company in a few cases no longer had a record of the vehicle, its sale, status, customer information etc, which in turn gave way to more financial and record-keeping discrepancies in the future. 

Financials Irregularities:

Another major issue the company was battling with was the irregularity in maintaining financial records. This was due to the fact that had to manually manage such a high number of vehicles with varying prices. At the end of the day, balancing the numbers was a herculean task concerning credit, debit, expenses, servicing, parts and more. This also created opportunities for cashiers and others who have direct involvement in the financial transactions to miscalculate or manipulate the financial records.

Excessive Manual Work

As a business that deals with the sale of more than a thousand vehicles in a month, there is a requirement of around 3 to 4 clerks or dedicated resources, just to go through these thousand or so transactional records and confirm their accuracy. Additional to this primary task, they also had to do thorough follow-ups and cross-verification for supporting aspects like insurance validity and expiry, regular monthly payments by the customers, vehicle maintenance and repairs, spare parts inventory and billing.

BM Soat Auto Sales was an organisation that has been highly dependent on extensive paperwork and book-keeping. This had given way for the company to experience a series of functional challenges as detailed below.

Given the nature and the urgency of their challenges, the company approached Techlify to put a customized software in place that could handle all of these issues efficiently and accurately.

Automated Accounting System

We created and deployed a customized software platform that would bring in the entire sales, insurance and general accounting into an organized and automated workflow system. This meant that every single payment was recorded, the receipts for these payments were automatically generated and there was a comprehensive audit trail being recorded. This foolproof system would ensure that every single file or document is accounted for and saved in a backup system, so they cannot be tampered with in any way. With the inclusion of automatic calculations, the system could do the tasks previously carried out by a team of around 5 people, all while maintaining an extremely high level of data accuracy at all times.

Payments Tracking System

With the successful deployment of our Automated Accounting System, the company experienced a significant impact our software had on their internal financials, sales and bookkeeping, and then realized that they needed a similar system to track expenses and other pay-outs. With this, they came to the decision that they needed a similar set of automated systems that can record and track all of their expenses and pay-outs.

Techlify developed and seamlessly integrated this additional feature with the earlier version of the accounting software. With this in place, the company now had an automated and organized system that made sure that all payments were accounted for made on time, while completely eliminating the chance of double or repeat payments. This system is also highly efficient in tracking all payments and payment vouchers to suppliers, thus successfully overcoming a huge stumbling block in their overall financial functionality.

Customer Tracking System

Now that the financial aspects of the business were automated and operating at a very high level of efficiency and accuracy, the company wanted a further expansion of the software’s functionality that could help the sales and marketing team with customer management.

Techlify’s solution to this was to rollout a tailor-made software system that now enables BM Soat Auto Sales to automatically record keep track of their customer’s journey. This help the sales team organise their customers into groups based on the various stages in the buyer’s journey they were in. This made the task of handling enquiries, following up with customers, sending our quotations and time tracking from the initial payment made by the customer right up to the delivery of the vehicle. This entire workflow process was automated and resulted in a substantial boost in the quality of customer communication and customer satisfaction.

Continuous Development

From here on, BM Soat Auto Sales contracted Techlify into a process of continuous development with respect to the scale, scope and areas of functionality of the software system.

One of the most significant outcomes of this continuous development process was the Workshop Management Software. This gave the company a detailed stage by stage tracking of every single vehicle that has come in for service or repairs. The software automatically updated all the relevant information which includes a record of the parts, spares, labour work and material used on the vehicle, while also managing the queue of vehicles that are set for workshop visits.

This software also includes a very impressive auto inventory control and tracking system, through which the company knows exactly how many parts they have, what and how many new parts need to be ordered and when these units are required.

With this entire scope of work being done for BM Soat Auto Sales over a period of close to 2 years, Techlify has been able to successfully build out a number of customized software solutions that make the entire process of running a large-scale auto sales operation including the sale, maintenance and repair of multi-brand vehicles, from 3 separate locations in Guyana.
